Outing Coordinator

Job Description:

The Monthly Outing Coordinators are members of the Troop Committee who plan the logistics of a monthly outing chosen by the Youth Leaders of the troop.

Duties:

1. Plan and manage the logistics for a monthly troop outing

How To:

THREE TO SIX MONTHS PRIOR TO THE OUTING

Reservations: Reservations for needed facilities should be made immediately as choice sites go fast. The treasurer will provide required funds for deposits.

Budget estimates: Estimates for funding need to be communicated to the treasurer to insure that the troop budget is not adversely affected.

Activity Timeline to departure: A simple timeline of the activities that need to be accomplished leading up to the outing is very helpful in eliminating schedule conflicts and insuring important things are not missed or delayed.

TWO MONTHS PRIOR THE OUTING

Troop Committee review/approve program: Once the concept of the outing is completed and the budget is finalized, the Troop Committee will review the program for safety etc.

ONE MONTH PRIOR TO THE OUTING

Promotion/Sign-Up: Announce the outing at meetings, send out e-mails to Troop Mailing list, and work with the webmaster to update the website with information and a sign-up sheet.

TWO WEEKS PRIOR TO THE OUTING

Tour Permit: Provide the number of attendees and details about the leaders to the Committee Chair who will submit the tour permit to NCAC at least two weeks prior to the outing to insure it is in hand before departure. Make sure you have enough drivers to cover the number of attendees.

ONE WEEK PRIOR TO THE OUTING

Patrol Planning Package/Ride list: At the meeting prior to the outing brief the final details of the outing and provide each patrol with a planning package. The ride list should be completed first and provided to the Wagonmaster.

AT THE CHURCH ON FRIDAY

Use Senior Patrol Leader to Lead: Use the Senior Patrol Leader to do a roll call, assign drivers and get equipment loaded.

AFTER THE OUTING

Attendee list to Advancement Chairman: Submit the list of Scouts attending the outing to the Advancement Chairman, indicating the number of nights that the individual camped.

The average budget for an event is $300. Refer to the Troop Budget for exact figures.
